Retention Templates

The Division of Academic Affairs is committed to offering quality educational programs. The success of such programs not only relies upon the ability of the institution to provide qualified faculty members, but it also relies on the enrollment and retention in those programs. Attending class is a basic, and yet crucial, component of achieving success in academic programs in the Division of Academic Affairs at Coahoma Community College.

To that end, the faculty and staff of the Division of Academic Affairs have developed an Early Alert System to increase awareness of the attendance policies at Coahoma Community College concerning academic courses. To assist in this effort, the Vice President of Academic Affairs established the Academic Retention Committee

The Academic Retention Committee has developed the following procedure and templates to be utilized by all academic faculty members in reporting absences and notifying students of any potential repercussions that may result from excessive absences.

EARLY ALERT SYSTEM

POLICY NOTICE
At the beginning of each semester, instructors will electronically deliver a Policy Notice outlining attendance policies and possible repercussions as a result of excessive absences to all students enrolled in each of their courses.

EARLY ALERT
If a student has three (3) absences, instructors will notify the student with an Early Alert letter. This simply notifies students that there is a six absence limit and what the possible repercussions may be if the student exceeds six (6) absences.

EXCESSIVE ABSENCE WARNING
If a student has five (5) absences, instructors will notify the student with an Excessive Absence Warning letter. This notifies the student that they only lack one more absence before they will have used up all possible absences for that course during that semester.

FINAL NOTICE
Once a student has seven (7) absences, they have exceeded the number of absences allowed for an academic course at Coahoma Community College. Instructors will notify students of this with a Final Notice letter. This letter notifies the student that they have exceeded the number of absences allowed and explains the potential repercussions. This is the final notification in the Early Alert System.

OFFICIAL NOTIFICATION OF EXCESSIVE ABSENCE
An Excessive Absence Report from department chairperson is due to the Vice President of Academic Affairs at the end of each month.

An Excessive Absentee Report will be provided to the Office of Financial Aid, the Business Office, and the Office of the President.
